Reservation management
Reservations taken, moved and noted while your host seats the room.
The phone rings most when the host stand is busiest. Zenith takes the reservation calls and texts in that hour: a table for four, a party running late, a booking moved to 7:30, an allergy to note. Each change is made in your reservation system, read back and confirmed, and the host sees what changed.
The calls
The reservation calls a restaurant gets, and who handles them.
| Call | What Zenith does | Your team |
|---|---|---|
| A table tonight | Checks availability, books it in your reservation system, confirms by text | Sees it on the book |
| Running late | Finds tonight's booking, notes the new time, tells the host | A note on the table |
| Move or cancel | Moves it to an open time or cancels it, and releases the table | Nothing |
| Large party | Takes the date, size and occasion, and passes it to your events lead | Calls back to plan it |
| A special request | Notes the allergy, the birthday or the high chair on the reservation | Reads it at seating |
Rules
Your floor, your rules.
Zenith books by the rules your reservation system and your managers already use.
Party size
Parties above the size you set go to the events lead instead of the book.
Cut-offs
No bookings inside the window you set before close, and none for a section you have held back.
Locations
Each location has its own book and hours, and a caller is asked which one when the line does not say.
Walk-ins
If you keep tables for walk-ins, Zenith says so instead of offering them.
The book
Every booking on one schedule, wherever it was made.
Reservations stay in your reservation system. Tastings, private-event walkthroughs and catering pickups sit beside them on Zenith's schedule, synced to the calendar your events team uses.
- Read from your system
- Tables booked by your host, online or by Zenith appear together.
- Held, then booked
- A time a caller is deciding on is held and released if they do not take it.
Before they arrive
Guests remembered before they sit down.
Regulars
A guest's visits, last order and preferences from your POS, on the call card and the reservation note.
Occasions
Birthdays and anniversaries mentioned on the call are written to the booking.
Reminders
A text the day before and on the day, with a reply to confirm, move or cancel.
On its own, and where it stops
Zenith handles the routine. Your people handle the rest.
Zenith books, moves, cancels and notes reservations on its own. Large parties, private events, deposits and any complaint about a visit go to your manager or events lead.
Zenith answers, routes, books and handles routine questions on its own. Refunds, discounts, complaints, low reviews and campaigns wait for a person, and anyone on your team can take over a conversation at any time.
Your dataThe voice model carries the spoken conversation and nothing else. Your customer records stay in your own database, read only by your own agents.
Start here, keep the foundation
Start with reservation management. Add the rest without starting over.
Start with reservation calls at your busiest location. The reservation system and POS connections that requires are the same ones caller context, review requests and win-back use, so the next function at that location, or the next location, is set up from what is already connected.
FAQ
Questions, answered plainly.
What is reservation management?
Reservation management is how a restaurant takes, changes and keeps track of table bookings. Zenith handles reservation calls, texts and chats, and makes every change in your reservation system rather than keeping a separate book.
Which reservation systems does Zenith work with?
Zenith is built to connect with OpenTable, reading and writing reservations and guest notes. Other reservation systems are set up per restaurant group when its instance is configured.
Will Zenith overbook a night?
No. It books only open times from your reservation system, reads each booking back before confirming, and follows your cut-offs and party-size limits.
How does the host know what changed?
Changes are written to the reservation itself, with a note where it matters (running late, a birthday, an allergy). Your host sees them on the book as they do today.
Can it take takeout orders by phone?
Zenith answers order-status questions from your POS and can text a caller your online ordering link. Taking a full order by phone stays with your team.
What about private events and large parties?
Zenith takes the details (date, size, occasion, budget if you ask for it) and books a tasting or walkthrough if you offer one. Pricing and deposits are your events lead's.
